Practitioners

In this support article we will walk you through adding or editing a practitioner within Hero.

Adding a practitioner

To add a practitioner, go to settings and then find Your practice and in the dropdown click Practitioners.

Now you are on the practitioner page you can click Add. The add practitioner page will appear, you can then fill out the practitioners information and click save, the practitioner will be ready to start booking appointments.

If you are using EMIS you do not need to add practitioners, they are synced with your EMISWeb instance automatically.

Note: For Hero to be able to find EHR practitioners, they will need to have availability in your EHR the past or future 30 days.

Archiving a practitioner

To archive a practitioner, go to the practitioners page and find the practitioner you would like to archive and click Options and then Archive.

Edit a practitioner

You may want to change things on a practitioner profile. You can do this by going to the practitioner page and then clicking Options and then Edit next to the relevant practitioner. From here you can edit their Title, Name, Email and Mobile number and Sex. Additionally you can enter their qualifications, give them a biography and define languages. Lastly define locations and set up alerts and availability settings.

How do I send new appointment alerts to practitioners?

When an appointment is booked online, it can be helpful to send an alert to the practitioner responsible for completing the appointment.

Once you are on the edit practitioner screen, scroll down to Alerts. Here you define which type of alert the practitioner receives. You can set up email and SMS alerts for New appointments, Cancelled appointments, Rescheduled appointments and Video appointment links.

Setting availability at your locations

(For practices that do not use an Electronic Health Record)

Once you are in the edit practitioner screen, scroll down to Locations and check the boxes of the locations your practitioners are available at. When you have checked all the relevant boxes scroll back to the top and click Save.

At EMIS and SystmOne using practices, location availability is determined by the EMIS or SystmOne appointment book.

Note: If you create a new location, you will need to follow these steps to make relevant practitioners available at the new location

Set default practitioner availability for appointment types

(For practices that do not use an Electronic Health Record)

Once you are in the edit practitioner screen, scroll down to Availability and you can toggle Set default availability to Yes, then check the boxes of the appointment types that you would like as the practitioners default availability. When you have checked all the relevant boxes scroll back to the top and click Save.
