Hero hosted integration guide

This article takes you through creating a new user at your GP practice in order to create a Hero hosted gateway connection to SystmOne.

🔐 These instructions require the System Administrator permission in SystmOne.

Step 1 → Staff & Organisation Setup

Open the Staff & Organisation Setup page by clicking Setup → Users & Policy → Staff & Organisation Setup in the menu bar.

Step 2 → New Staff

Click the New Staff button.

In the Staff Registration dialog box enter the following:

  1. GMC / NMC / RPSGB / GPhC / UUID → if your ODS code is A12345, you would type hero-user-A12345 into this box. Please check this carefully.

  2. First name → Hero

  3. Surname → User

  4. You should get a warning about the user account not being found. This is okay, we are going to create a new account in the next steps.

Step 3 → Global Settings Tab #1

In the Global Settings tab make the following changes:

  1. National ID (in the Professional Details section): choose Local Person ID

  2. User logon name (in the Logon Details section): if your ODS code is A12345 , you would type herouserA12345H0101. Pay special attention to the H0101 on the end, and there are NO hyphens like the previous step.

Step 4 - Local Settings Tab

In the Local Settings tab make the following changes:

  1. Employment role → choose Administrator

Step 5 - Local Access Rights Tab

In the Local Access Rights tab add the following permissions:

  1. Select Retrieve Patients ☑️

  2. Select Saves Records ☑️

  3. Select System Administrator ☑️ - Selecting this permission will automatically select other permissions, you can unselect these. This permission is needed so the integration can be approved on its first use.

Step 6 - Global Settings Tab #2

Go back to the Global Settings tab:

  1. Click the Password button.

  2. Click the Continue button.

  3. Write down the password for later and click Accept.

  4. Finally click Ok to create the user.

Step 7 - Send the username & password to Hero

⚠️ Please don't delete the 'Hero User' user or change their password as it will cause the IM1 integration to stop working.
